About the project

Touhula is the largest private daycare company in Finland with over 130 day care centers, employing 1900 people and taking daily care of over 9500 children.

Day cares have different systems to facilitate daily tasks and communication with parents. Unfortunately, these systems are often not as effective, reliable and easy to use as they should be. As one of the leading companies in the field, Touhula wanted to stand out from their competitors and improve their customer experience by investing in the digitalization of their daily processes.

Touhula needed to improve their operational tools for several reasons. The most significant problems were the complex and asynchronous processes for daily tasks, multiple communication channels with parents, and an upcoming change in day care legislation.

With the TouGo-service, the employees now have significantly more time for their most important job: taking care of the kids.

Our way of working

To fully understand the daily duties and routines of the management, staff and parents, we looked into customer surveys, held a workshop with Touhula management, and visited day care centers. Based on our findings, we created an integrated service concept that would transform both the customer experience and the daily work of the staff. We created user personas, dived deep into discovered needs, and planned specific features for the applications. Co-creation and communication with the customer was one of our main priorities from the very beginning. The Touhula representative was in close communication throughout the process, making sure we always had relevant information for decision making. The application was published on schedule, enabling the customer to improve their services and streamline their daily tasks significantly.

Application for staff

Instead of writing notes by hand and later typing the same info into digital form, employees now use the application to make notes and check the children in and out. Digital check-in makes hour-based daycare billing reliable and transparent. Communication with the parents is simplified: the information that was before handled via e-mail, text messages, web application, posters or face-to-face is now delivered through the application. Push notifications let employees know about new messages from parents, making communication more real-time than before.

The web application enhances the management’s daily routines and streamlines their hectic work. With the application Touhula staff can react to current matters that need to be taken care of, manage reservations and message with the parents. It also shows the children's information with a possibility for editing. Managing staff can also manage settings of individual day care centers and users.

Application for parents

Having many different communication channels made it hard for both parents and staff to keep up and search for information. To simplify the communication, all messaging functions are now concentrated in the application. Daycare reservations are made conveniently in calendar view, which also makes it easy to follow reserved hours. To ensure the best possible care giving, parents can update their child's profile info regarding, for example, any allergies.

Design

In case Touhula everything was built on a user-friendly, pleasant and attractive design. The design of the applications follows Touhula’s visual guidelines and every function and element supports the great user experience. Consequently, Touhula’s employees, customers and managers use the TouGo service because they want to, not because they have to.
